When to use a document
Put the details the assistant must always keep in mind, like services, hours, and prices, in the instructions. For longer information, like a catalog or a detailed list, you can add a PDF.
- A hair salon with ten services: you can summarize them in the instructions.
- A store with many products: you can add the catalog as a PDF.
Upload a PDF
- In Knowledge base, press Add document.
- Drop a PDF or click to browse. The file can be up to 5 MB.
- Give it a name, like “2026 catalog”, and press Upload.
- Wait for the status to change from Processing to Ready.
Once the status shows Ready, the assistant can use the document in calls. If you see Failed, remove the document and upload it again.
Good to know
You can have up to 5 documents in your workspace. If you’ve reached the limit, delete one from the library before adding another.
Prepare a clear document
- Use headings that say what each section is about.
- Check you can select the text in the PDF. The assistant needs readable text, not pages scanned as images.
- Say which location or time period it applies to.
- Avoid details that contradict the instructions.
Check it finds the answer
Ask a question whose answer is in the document and check the reply. Then ask about something that isn’t there to see how it answers when it can’t find it.
